Terms of Service
Last updated October 4, 2026 · RefTraq beta
The rules for using RefTraq, in plain language. What we keep and who sees it is in the Privacy Policy.
- The service. RefTraq turns the schedules and records you provide into organized pay, mileage and tax records, and lets you share pictures of your own seasons. It is a beta: features change, and availability isn’t guaranteed.
- Your account. You must be 18 or older. You sign in with your email (or Google, where offered), and you’re responsible for what happens under your account. You’re responsible for the accuracy of what you enter: RefTraq computes from your inputs and from public IRS rates, but doesn’t verify your records.
- Not tax, legal or accounting advice. Every number RefTraq produces is an estimate for your tax professional to verify. The Deduction Review and the tax guides raise questions to take to an advisor; they are not rulings. You’re responsible for your own filings.
- What you may bring in. Only your own:
- calendar links;
- spreadsheets of your own work;
- photos of checks paid to you and receipts for your own spending;
- bank or card accounts you’re entitled to link.
Don’t add someone else’s calendar link or records unless they asked you to.
- Other officials. The crews on your games name other people. Keep them in your account for your own records. Don’t use RefTraq to contact, rank or publish other officials. A card you share names nobody but you, and you only if you switch your name on.
- What you share. A season card is yours to post, and you choose where it goes. Its link may credit you if somebody signs up from it. No reward is promised for that, and we’ll say so plainly if that ever changes.
- Your content. Your records stay yours. You allow RefTraq only what it needs to run the service for you: storing, syncing, computing, exporting, and sending the pieces described in the Privacy Policy to the providers named there.
- Your ideas. If you send us a suggestion, an idea or other feedback, we may use it to improve RefTraq freely, without owing you anything for it. That covers what you tell us, never your records: those stay yours, as the section above says.
- Other services. Plaid, Google, Cloudflare and your assigning platform have their own terms. RefTraq isn’t affiliated with any assigning platform and can’t control what their calendar feeds contain.
- Pricing. RefTraq is free during the beta. If that changes, we’ll tell you before it does. Free access RefTraq promised you is honored as it was recorded.
- Leaving. You can leave any time: export your records, then ask us to delete your account (see the Privacy Policy). We can suspend accounts that abuse the service or other people’s data.
- Warranty and liability. The beta is provided as it is, without warranties. To the extent the law allows, our liability is limited to what you paid for the service, which during the beta is nothing.
- Agreeing, and changes. When you create an account, or the first time you sign in after these terms were published, RefTraq asks you to check a box agreeing to them, and records which version you agreed to and when. We’ll post changes here with a new date, and ask you to agree again in the app before a significant change applies to you.
